Archival records are unique, irreplaceable and often very fragile, which
is why we kindly ask that you become familiar with our policies prior to
using our materials.
Special Collections and University Archives reserves the right to restrict
the use of fragile or unprocessed material.

Researcher Regulations
- Food and Beverages are not permitted in the Reading Room.
- Cell phone usage is not permitted in the Reading Room.
- Use of post-it or other sticky notes is not permitted in the Reading
Room.
- A storage shelf is available for coats, backpacks, purses, and other
personal belongings. These items are not allowed in the Reading Room.
- All researchers must fill in a Researcher Registration Form in order
to use the materials in Special Collections and University Archives.
- To request materials for research, please complete a Material Request
Form for each book or box of papers you wish to see. Staff will retrieve
the materials for you.
- Researchers are allowed to page 4 books or boxes of papers at once,
only one of which can be on your table and opened at a time. Please
use only one folder at a time; when you have finished with the first,
return it to its place in the box before pulling the next.
- If you have paged materials from a manuscript or other archival collection
you will be given a box marker. Please use this marker to hold the spot
of the removed file. Do not disturb the original order of the file folders
or items within folders. Doing so impedes future access to the collection.
Please notify staff if any papers are apparently misfiled or are physically
deteriorated.
- Use only pencil in the Reading Room, not pen. If you do not have
a pencil, we will provide one for you.
- Use Photocopy Tabs to mark documents you would like to copy. They
are located next to the photocopier, near the Reference Desk.
- All originals marked for copying must be shown to staff at the Reference
Desk. All documents must be reviewed and approved for copying by staff
before any researcher can use the photocopier. Staff will copy particularly
fragile items for you.
- Do not walk around the Reading Room with documents which have been
removed from their folders. Documents are fragile and must only be moved
in folders.
- Please handle all items with care. Materials must not be marked on,
fastened together, or mutilated in any way. Do not place any pressure
on books or manuscripts, such as resting an arm on or writing notes
on paper or cards on top of any document.
- When you have finished using materials, please leave them at your
table and inform staff that you are ready to depart.
- Special Collections and University Archives materials do not circulate.
They may be used only in the Reading Room.
- Most collections are open to all researchers. Special Collections
and University Archives reserves the right to limit or prohibit access
to any materials. Please consult with staff for clarification of any
restrictions.
- Any publication that draws upon San Diego State University’s
Special Collections and University Archives primary source materials
should include citation(s) of the collection(s) used. Should Special
Collections and University Archives prove a significant resource for
a publication, we would appreciate receiving a copy of the published
work.
